Qualifications and Proficiencies can be used when your employees have certain skills or tasks that are certified and require constant practice to remain up-to-date:
Qualification refers to a form of designation that needs to be renewed by an employee. It has an expiration date. For example, CPR/First Aid.
Proficiency refers to the competence level in carrying out a certain task. For most organizations, employees are required to work a certain number of shifts in certain jobs within a specified time period to stay proficient.
Depending on your organization’s needs, Qualification and Proficiency Policies can be configured so that employees have to be either qualified, proficient or both to work certain jobs.
Employees’ proficiencies will update automatically as SchedulePro assigns employees to various jobs or locations, positions, and shifts.

Set up Eligible Shifts and Positions
This setting option allows you to define the Shift and Position combinations that should be maintained when managing proficiencies.
If this is NOT set up, any Shift/Position combination worked in that specific Job or Location will count towards an employee’s proficiency.
Creating Proficiency Policies
The Proficiency Policies section allows you to define how competence should be measured for a certain job.
Job/Location - Choose whether the job or location requires Qualifications and Proficiencies.
Timeframe to meet proficiency (Rolling window) - The number of days an employee has to work the minimum number of shifts to stay proficient.
Minimum number of shifts required - The minimum number of shifts the employee must work within said timeframe.
Shifts credit toward this proficiency -
Eligible List: Only the marked shifts in the “Eligible Shifts and Positions” setting will contribute to this proficiency.
Any: Any shift worked at this job or location will be credited.
Positions credit toward this proficiency -
Eligible: Only the marked positions in the “Eligible Shifts and Positions” setting will contribute to this proficiency.
Any: Any positions worked at this job or location will be credited.
Additional jobs applicable to this proficiency policy - If applicable, this area allows you to choose other jobs or locations that can be worked to meet this proficiency.
Employee's Qualifications and Proficiencies
This section allows you to have a quick overview of every employee’s Qualifications.
Clicking the pencil ‘edit’ icon allows you to find and edit additional details about an individual employee’s Qualification and Proficiency details.
Adding/Editing Employee Qualifications and Proficiencies Details
Individual employee's qualifications/proficiencies details can be setup/edited by clicking the pencil ‘edit’ icon, for the employee in question.
To link a new proficiency policy, click 'New'. To edit an existing proficiency policy, click the pencil 'edit' icon for the policy in question.
Here is a breakdown of the above fields:
Employee Job Proficiency - Choose the job proficiency you would like to add or edit.
Add Code as Secondary - If the selected job proficiency is not the employee’s primary job, you can add it as a secondary proficiency.
Proficiency Grace Period - The initial date an employee has until to meet his first set of required shifts.
Qualification Effective Date - The effective date of the qualification.
Qualification Expiration Date - The expiration date for the qualification.
